Minutes of Previous meeting
Agreed and signed off. The issues around access to female only toilets, disability access to the clubhouse and cleanliness on the kitchen were all noted as areas of improvement that need to be addressed.
The Club secretary provided details of a new housekeeping schedule for circulation along with an update on the Football Foundation visit to Carr Lane to discuss ongoing plan to address accessibility at the venue.

Welfare and Safeguarding
The committee will thank parents and players for their excellent behaviour at the Awards night. There are some minor concerns around player welfare and the club should reinforce the Club Code of Conduct and have this signed at the awards night on June 1st.
In addition, the welfare officers agreed that the club should make it clear how players and parents can report any concerns at the awards night presentation.

Finance
The treasurer reported the current figures for the club with a closing balance of £2017.03 for April 2025.
The treasurer presented a breakdown of expenditure and income and it was noted that this seasons efforts with the tuck shop cleared a profit of over £600 and covered a large proportion of the referees fees this season which exceeded £1k
The treasurer and club secretary will include a breakdown of the finances for parents at the awards night. It was clearly noted that the rising cost of pitch hire now accounts for 41% of the clubs expenditure and is expected to rise again next year.
The club is looking into wifi access at the clubhouse to allow us to use a point of sale tablet to take card payments so we no longer need to download the application individually. We believe the card payments will increase takings significantly and help away supporters too.

Teams 2026
Early indications are that the club will have 7 junior and youth football teams next season at Under 8, 10,11, 12, 14 and 16

AOB
Prior to the meeting the Scarborough and District Minor League (SDML) confirmed that it is no longer going to be a viable league and will fold for the new season. Club Secretaries have been advised that this is resulting from ongoing pressure from clubs to play in York and Hull and leave SDML but also the lack of volunteers especially for the League secretary position.
The committee will be writing to the SDML to express our disappointment and join other clubs in requesting a meeting with North Riding FA and SDML to see what can be done to address this issue.
As it stands all 7 of our teams will compete under the York and District Youth Football League competition (YDYFL) from September. Age groups 8-11s will only compete locally against Scarborough teams but from Age 12 on upwards teams will be allocated to a York league subject to results and standard.
The club secretary is meeting with all the managers to clarify the concerns and take action to help ALL our players to continue playing next season.
The club is going to purchase a boot cleaner for the outside of the clubhouse for the start of the new season and will procure cleaning products for the clubhouse ahead of the start of the season.
Scalby Sports Association has confirmed that an aged, unpaid Water bill of 2.5k from March 2022 has not been appealed with Yorkshire water and therefore will need to be paid. The junior section will be liable for £500 or so of this bill by September and the treasurer would like further clarification of this before we agree to pay.
An AGM will be held in August with a date to be confirmed and all parent, coaches and players will be welcome to attend and apply for positions on the committee.

Minutes from last meeting approved by the committee and can be uploaded to the web site.
Chairman’s Report
Jez was unable to attend but provided the committee with an update on the centenary build. The teams can return to Carr Lane and train and play ahead of the new season in August. Building works will be completed by September for Phase 1
Secretary’s report
Matt confirmed that the club will have the same teams next season with U9s, U10s, U11s and U12s competing in the SDML. U11 Juniors will “play up” in the U13 league and will require additional players which the manager is confident he will find by Sept. The club charter standard status application will be submitted in the summer holidays and Matt will update at the next meeting. Affiliation fees expected to be £200+ again next season.
Awards for the end of season event have been ordered following the voting. Managers have confirmed they will attend to present at the event.
Treasurer’s report
Currently the direct debits for weekly subscriptions are being paid into a savings account held by Susan. This is short term whilst the club arranges a club bank account. Balance of the account as of May 14th was xxxx. Parents will be encouraged to sign direct debits when the players return in August. Matt will summarise the finances for the annual report and AGM in August.
Welfare Report
Rachel Clifford has been removed as the CWO following several years of services to the club. Matt Eccles is temporarily managing the role whilst the club finds a volunteer to replace Rachel. A reminder that all volunteers must be CRC cleared by the CWO. There are several applications in process (Wayne Deighton, Benny Davies, Ben Sheader and Tom Wilson)
Matters Arising
Matt will ask players and parents to sign the club charter and code of conduct at the awards night.
Centenary Build Fundraising
Matt Taylor raised £971.75 for the club centenary build and funds have been transferred to the appeal. The club would like to minute it’s appreciation for this phenomenal donation from Matt.
We will attempt to raise some funds for the build during the awards ceremony on the Saturday 25th May.
Buy a brick will be promoted at the club BBQ in Sept.
Social Corner
Next event is the award night on 25th May. All is well planned and no issues. Tom confirmed that Sealife could host a “free” evening to help us fundraise as well.

Kit next season must be changed due to colour and NRCFA rules. Sealife could confirm sponsorship of the new kit in due course
